Responsibilities

 

DETAILS OF FUNCTIONS:

  • Prepare routine reports on sales and inventory

  • Responding to customer inquiries and maintaining office correspondence

  • Developing and implementing new administrative systems, such as policies and record management;

  • Recording office expenditures and managing the petty cash fund;

  • Organizing the office layout and maintaining supplies of stationery and equipment;

  • Manage, organize, and update relevant data using database applications.

  • Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups.

  • Research and investigate information on new/trending products to enable strategic decision-making by others.

  • Organize, arrange, and participate in meetings and take minutes.

  • Approve decisions, requests, expenditures and recommendations on behalf of senior people in their absence, according to agreed guidelines and policies.

  • Adhere to stated policies and procedures relating to health and safety, and quality management.

  • Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.

  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

  • Ensuring an adequate supply of stationery and equipment in the office

  • Maintaining the company website and its presence on all social media platforms.

  • Assist in the preparation of correspondence, reports, marketing materials, and other documents

  • Contributes to team effort by accomplishing related results as needed

  • Provide ad hoc support around office as needed

 

Qualifications

  • Diploma or certificate in relevant fields or equivalent experience

  • Strong interpersonal, customer service and communication skills

  • Ability to multitask

  • Proficient in Microsoft Office suite
